# Set up your workspace.  Give work a clear home.

Already have a workspace? Check how people sign in, where work belongs and what your current plan allows. Then try one small piece of work together.

Begin with the workspace you have

## A few choices.  A clearer start.

This guide is for a workspace that has already been provided. Its administrator prepares shared settings. Members then sign in and save their own preferences.

Before you begin

## Keep these within reach.

- The workspace name and address.Use the details supplied for your team’s workspace.

- An active administrator.Someone who can open Admin and make shared choices.

- A place for the first work.Choose one Project or Team and the people who need access.

- A small result to check.Agree what would make the first task useful and complete.

## Help people reach the right place.

Confirm the workspace details, choose a usable sign-in method and ask each person to set their local time.

Workspace details

### Check the name and address.

Open the supplied workspace address and confirm it belongs to your team. Keep the name and sign-in link in your welcome note. If the supplied details need a correction, ask your workspace contact to arrange it.

Each member’s preference

### Save your local time.

Open Account settings → Preferences → Local time. Choose your Timezone and Save. Each member sets their own timezone; it affects due-date reminders and daily work boundaries.

Administrator + provider owner

### Prepare sign-in.

Open Admin → Integrations → Sign-in methods. Configure and enable the methods your workspace should offer. Google and Microsoft need provider applications and the exact callback shown in settings.

Keep at least one usable sign-in method enabled. Confirm an alternative before disabling a method, because sessions using it can lose access. Some provider sign-in options also need the workspace operator’s approval.

Choose roles and access separately

## A workspace role.  A place to contribute.

Start most people as Members. Give Admin access to the people who need shared controls. Then check the Project, Team and sources each person needs for their work.

Workspace role | An administrator chooses Member or Admin in Admin → Team. | Member is for ordinary participation. Admin adds workspace administration. Keep at least one active administrator. |

Project access | The project creator or an administrator checks the Project’s Access settings. | Workspace visibility allows active members to see the Project. Private Projects use access grants; the creator and active administrators retain access. |

Team access | An administrator chooses the Team’s members and owned Projects. | Team membership can provide access to owned Projects. A work item still belongs directly to one Project or one Team. |

Private areas and sources | The room organizer, review author or source owner handles the relevant access. | Private workshops need participation. Review drafts belong to their author. A saved source link does not grant permission to open it. |

Choose an owner and a workflow

## Use stages  your team understands.

A Project provides a home for a product, service or initiative. A Team groups people and can own Projects and work of its own. Start with the owner responsible for the first result.

Administrators manage reusable workflows in Admin → Workflows. Choose the Project’s workflow in Settings → Workflow where available. Agree what starts work, what needs review and what counts as complete.

Choose the actual completion stage in the workflow settings. A lane name such as “Shipped” does not change its behavior. When changing an existing Project’s workflow, review mappings for every stage, including archived work.

ReadyThe outcome, owner and completion checks are clear enough to begin.

In progressSomeone is doing the work and recording useful decisions.

ReviewThe result exists, but a person or release step still needs to check it.

DoneThe agreed checks have passed and the result is linked from the work.

Milestones use The Loop separately. Moving a milestone does not move its linked work items through their workflows.

Check your current capacity

## Make room for the work ahead.

Open Admin → More admin sections → Usage. Compare current usage with the effective plan allowances before inviting people or bringing a larger task list.

### Human seats.

Active members and unique usable pending invitations count toward capacity. Expired and revoked invitations do not reserve a seat. Review existing members and invitations before adding more.

### Retained work.

Projects and work items still count when archived or completed. Archiving them does not release capacity. Check storage before adding attachments or importing work.

### Available features.

A plan allowance and an enabled feature are separate checks. Some controls depend on workspace setup, your permissions or a provider connection. Ask an administrator about a missing control.

Connected agents have no plan-based count limit. Workspace AI request allowances and external provider charges still apply separately. Use the current Usage page and provider terms for the work you intend to run.

Check the setup together

## One small task.  A useful first check.

Ask one invited teammate to use their own account and confirm the first steps. Keep the test within a Project or Team they should already be able to access.

Use a real, small outcome. Give it saved context and acceptance criteria, agree who reviews it and record the result. Home’s onboarding can guide each member through the existing screens.

The invited member signs in with an enabled method and recognizes the correct workspace.

They can open the intended Project or Team, plus the documents needed for the task.

Create work where permitted. Add its purpose, completion checks, assignees and complexity.

Use the configured stages, review the output and link the evidence before completion.

Does this guide create a workspace for my team?

Is there one timezone for the whole team?

Each member saves their own timezone in Account settings → Preferences → Local time. Check this setting when due-date reminders or daily boundaries seem unexpected.

Should everyone be an administrator?

Member is the usual role for collaboration. Give Admin access to people who need workspace administration, then check Project and Team access separately. Administrators still need participation in private workshops and cannot open another author’s review draft.

Can we change a workflow after work has started?

Review the workflow settings and the stage mapping before assigning another workflow. The mapping includes all Project work, including archived items. Use the [workflow guide](https://tellenze.com/help/workflows) for changes to a workflow already in use.

Why is a setting or feature missing?

Check your role, the workspace’s enabled features, the effective plan and any required provider setup. A guide or copied URL does not grant access. [Product availability](https://tellenze.com/availability) explains the main requirements.
