# Find work and save useful Views

Search with Spotlight, filter work, and build shared or personal Views across scopes.

## Find content with search and Spotlight

Choose **Search anything…** in the app header or press **Cmd/Ctrl+K**. When Spotlight is enabled, it opens a searchable palette with accessible Projects, Work, Milestones, Documentation, Members, and destinations, alongside Recents and Favourites. Recents shows up to three of your most recently opened accessible items, newest first. Use the arrow keys to select a result and Enter to open it. Some member results are informational and cannot be opened.

Choose **Full search** for the workspace results page. When Spotlight is unavailable, the header search opens this page directly. Search can match work identifiers, context, acceptance criteria, comments, project details, and documents. Try a distinctive phrase or identifier first; reduce the words if nothing matches.

With Looper available, type `/` in Spotlight to discover commands and their exact syntax. Examples include `/story [PROJECT] <intent>`, `/claim <task>`, `/watch <task>`, and `/move <task> <stage-key>`. Review proposed actions and any approval controls before applying them. Search results and commands still use your current access.

## Choose a saved filter or curated list

Open **Work → Views → New view**. Give it a name, choose its kind, select an owner, and choose List or Board.

Choose **Personal · only me** to keep the View yours, or select a Team for a shared View. A View organizes existing work without changing its Project or Team ownership.

For a saved filter, set the criteria before choosing **Create view**. For example, select the release’s Projects, set **Blocked** to Blocked, and filter the Milestone. The result updates as work changes.

## Refine and save the view

Use **Search work** and expand **Filters**. Available controls include Projects, Teams, Assignees, Stages, Types, Complexity, Labels, Milestones, blocker state, due-date bounds, and sort order. Multiple selections are available for the main categories. **Clear filters** broadens the current result.

Search and **Filters** share one panel. A separate action panel beside it contains **Board / List**, **Add work** for editable curated lists, and **Save view** when there are changes. The panels stack when space is limited. The page marks **Unsaved view changes** until an editor chooses **Save view**. Filtering what you are looking at does not by itself persist the new definition.

Work refreshes automatically every 15 seconds while the page is visible, and when you return to the tab. Your filters, layout, unsaved view changes, and loaded pages stay in place. Refresh pauses while you are dragging, using a dialog, or saving changes. If an update fails, the current work remains visible and the page retries automatically.

For a curated list, choose **Add work**, search, and press **Add** beside each desired item. This adds those items only; it does not subscribe the list to the search. In List layout with **Curated order**, use the up/down controls to reorder items. Remove an item with its remove control. Use **Load more** when more results are available.

## Move work and share a copy

Board lanes group work by common workflow categories across owners. Drag a card to another lane or use its move control, then select the actual destination stage offered by that item’s workflow. A completion move can ask for a completion summary. This changes the underlying work item wherever it appears.

Use **Share a copy** on an eligible personal View to create a Team-owned copy. Select the Team and confirm **Share copy**. Your original remains personal, and the copy becomes a separate View. Team membership is required to edit shared Views or copy into a Team; administrator status alone is insufficient.

## Recover an unexpected result

Different readers can see different results in the same shared View because source access still applies. Clearing filters cannot reveal inaccessible work. Archived Teams freeze their shared Views. Archiving a View leaves the work itself available.

When a concurrent edit prevents saving the view definition, reload the page, review the latest definition, and retry the intended change. Automatic refresh updates the work without replacing your draft definition.
