Give work a place and a direction
Choose between Projects, Teams, Views, Focus groups, milestones, and workflow stages.
Projects, Teams, and Views
Every work item belongs to one Project or one Team. Choose a Project for an initiative or repository with its own delivery context. Use a Team for work owned directly by a group of people. A Team can also own projects.
A View brings relevant work together without changing where it belongs. Use it to follow a cross-project slice of work. Adding something to a View does not give its readers permission to see private source work.
Open Work in the sidebar to browse these areas. Star frequently used Projects, Teams, or Views to keep them in Favourites.
Define and connect work
Choose a work type that explains the result you need: a story, task, bug, discovery, incident, idea, or Business Case where supported. Add enough context for the next contributor to understand the problem, constraints, and acceptance criteria.
Use child items when an outcome genuinely contains separate pieces of work. Use related-work links for dependencies or connections across items. Keep delivery evidence, discussion, and decisions on the work so readers can follow its history.
Use workflow stages
Projects and Teams use configured workflows. The displayed stage names and number of stages can vary. Board and list views are ways to inspect the same work.
Drag work in lanes or grouped lists using the card or its grip; in Backlog, use the row’s grip. A compact preview follows the drag while the original item fades. Lanes and grouped lists make room for a translucent card at the destination, showing where the item will land. Backlog uses an insertion line and highlights the destination Focus area. Team and View lane moves still open the destination-stage confirmation. For keyboard dragging, focus the grip, press Space, use the arrow keys, then press Space to drop or Escape to cancel.
Move work into the appropriate stage when its actual state changes. Mark blockers explicitly and describe the dependency. Move work to review when verification, approval, or deployment remains. Use completion only after the intended outcome has been achieved.
Completion records the delivery result. Reopening an item starts another completion cycle without making the previous outcome disappear. Prefer a separate follow-up item when the new request is a distinct outcome.
When your workspace has a configured publishing integration, a shipped item in a workspace-visible project offers Share outcome. With Emergent Newsroom, review the headline, summary and category, then choose Create private draft. Review and publish the draft in Newsroom when it is ready. Comments, attachments and documents are never included in this handoff. Private projects and work owned directly by teams cannot use it. A failed handoff leaves the completed work unchanged and can be retried.
Plan with Focus groups and milestones
A Focus group collects a bounded set of project work for a commitment. Plan the group, activate it when execution starts, and review its remaining work before closing it. Historical membership helps explain what was in scope even when items later move.
The project Backlog automatically loads all work matching your filters into its Focus groups, with no page navigation. Larger backlogs show a loading message while the remaining items arrive. If loading fails, use Retry loading backlog to continue; the items already loaded stay available. Expand parent items to see their children, or choose Hierarchy → All items in the filters for a flat list.
Manage Focus groups directly from Backlog: choose Create Focus, click a group’s name to view it, or open … for Edit, Close & snapshot, Archive, and Retrospective. Activate/Disable stays in the row, and the drag grip changes group order. Closed groups stay in Closed Focus groups for snapshot review until archived. Archived Focus groups opens a separate page for historical viewing and restoration.
A milestone tracks a larger outcome and its target date. Link the work that contributes to it. Delivery forecasts, where enabled, are signals based on available evidence rather than guaranteed dates.
Neither a Focus group nor a milestone replaces the work item’s owner, acceptance criteria, or current stage.
Resolve missing or inaccessible work
Check your current filters and whether the item or its owner has been archived. A missing item can also mean you no longer have access. Ask the project owner or an administrator to review membership; sharing a URL does not grant access.
If a page reports that another person changed an item, reload its latest state and reconcile your intended edit. Do not repeatedly submit an outdated version.
