Turn selected work into a clear report for the people who need it. Prepare a private draft, check the evidence and publish a fixed edition for named members.
Illustrative model · The author chooses what reaches readers. Publishing the report does not grant access to its source work.
Start with the reader’s question
A useful scope. A clear purpose.
Reviews must be enabled, and you need active membership. Open Reviews → My reviews to prepare your own report. Shared with me contains editions you can read.
Choose New review. In Work & dates, select work items, Focus groups, milestones, a date range or a combination. Check Time zone, then choose Preview selected work.
Read the selected items and their stages. The evidence is a captured view of accessible work, including relevant definitions, results, documents, comments and activity. Archived or inaccessible sources are excluded from a new selection.
Use the audience choices to guide the writing. Read the suggested Review title or enter your own; Suggest title from selected work asks for another suggestion.
Illustrative audience questions · adapt the brief to the people reading your report
Audience choice
Reader’s question
Useful emphasis
Business stakeholders
What changed for customers or the business?
Explain the outcome, evidence of impact and a decision the reader needs to make.
Leadership
What matters across the selected work?
Show delivered outcomes, material risks, tradeoffs and next decisions.
Delivery team
What did we learn and what happens next?
Include useful verification, unfinished work, dependencies and follow-up decisions.
Custom audience
What does this group need to understand?
Describe its needs in the private Audience brief and choose detail level and language.
Write the story of the outcome
What changed. What still needs a decision.
In Report, the default sections cover executive summary, delivered outcomes, impact and learnings, unfinished work and risks, and decisions and next steps. Rename, reorder or disable sections, and add custom ones when useful.
Write in Markdown. Use Include section to decide whether a section reaches publication. Keep claims tied to selected evidence, and explain where the result is still uncertain.
Choose Create review for a new draft or Save draft for changes. Saving is required before generated text can be requested.
Illustrative report outline · synthetic receipt-release example, not a delivery recordExample title · Receipt release update
A checked change. A pending launch.
Outcome
“Customers can download a receipt from the order page.” Link the selected work supporting this result.
Verification
“The agreed mobile checks passed.” Reference the saved verification notes and describe their scope.
Unfinished
“Release approval is pending.” Keep that separate from the completed implementation checks.
Decision
“The launch owner needs to review the release notes and choose the release date.” State the decision clearly.
Use wording like this only when your selected sources support it. A completed task, checked release and customer impact are different claims.
Use assistance and insights carefully
Useful suggestions. Checked conclusions.
A report can use generated writing and observed delivery measures. Both need a reader who checks the evidence and the meaning.
Accept writing deliberately.
Generate report proposes replacements for enabled sections. Suggest replacement handles one section. Read the suggestion and its source references before choosing Accept replacement.
Edit accepted text and save. If source work changed, review the scope and choose Refresh evidence for review before generating or publishing. An earlier preview does not permit outdated material.
If a source becomes unavailable, affected unpublished generated sections can be cleared and marked invalid. Regenerate them from current evidence or remove them. Restoring access does not restore old generated text.
Use insights to ask better questions.
Where enabled, open Project → Insights. Keep the same date range, timezone and scope when comparing observed delivery. Use the chart’s data table for labels, exact values and sample counts.
Current WIP means work in progress now. Open work age and workload are current snapshots, even when the historical date range changes. Timing measures describe recorded observations; limited history and Not enough samples matter.
A large review queue can suggest checking review capacity. Open the work before deciding why. Workload counts do not rank colleagues or measure individual productivity, and observed delivery is separate from a future forecast.
Named Readers can read an edition even when they cannot open its source work. A source link still needs separate permission. Check the actual report for the intended audience.
01
Save and preview.
Open Publish & share, save the draft and choose Preview publication. Read the report, scope, period, captured evidence details and reference labels.
02
Check what the report reveals.
Private draft instructions, the Audience brief and raw evidence are not separate publication fields. The report itself can still contain information from source work. Check every included section.
03
Select named members.
Choose Readers deliberately, then choose Publish edition. Publication and reader access happen through explicit author actions in the interface.
04
Share the fixed edition.
Use Copy edition link, Copy formatted report, Download PDF or Download Markdown. If copying fails, use the Markdown download.
Review publication path · draft privacy and edition access are separate
Author-private draft
Write and revise.
Saved sections, private guidance and suggestions remain in your authoring work.
Publication preview
Inspect the reader’s report.
Check the exact included content and source references before sharing.
Published edition
Fixed content, named readers.
The selected members read a historical report. Its source links keep their own access checks.
Keep later changes clear
A new result. A new edition.
Published content stays fixed. Choose Edit draft for the next edition to prepare an update, then preview and publish a new edition. Earlier editions remain historical reports, even if source work is later archived.
Use Edition readers → Save reader access to change who can read an existing edition. Withdraw edition removes reader access and workspace downloads while retaining the edition privately for its author. It cannot recall files readers already downloaded.
Before sharing · a short author checklist
Evidence
The current selected work supports every material claim.
Scope
Dates, timezone, included sections and references are correct.
Outcome
Delivered work, limitations, risks and required decisions are clear.
Readers
Each named member is intended to receive the report’s actual content.
Edition
The publication preview is current and the link points to the intended edition.
A prepared draft or an accepted suggestion is not a published edition.
Let an agent help prepare the draft
Ask for the report. Keep publication yours.
A connected agent can discover preview_review_scope, create_review and update_review. Supported tools also refresh sources, generate replacements and apply a reviewed suggestion to your private draft.
Use refresh_review_sources, generate_review_draft and apply_review_draft only with the current saved draft and relevant review checks. These operations do not publish or change reader access. Return to Publish & share for that author decision.
Reviews prepare outcome reports for a selected audience. Retrospectives are separate workshops for team learning, and a personal weekly review is part of personal planning. Choose the tool that matches the purpose.
Can an administrator open another author’s draft?
No. Drafts are author-private. Administrator status does not make another member’s draft visible. Published editions use explicit named-reader access.
Does an edition link give access to the source work?
No. Named Readers can receive the edition’s report without access to its source work. Opening a source reference still follows current source permissions. Check the report’s content before publishing to that audience.
Does the published report update when work changes?
No. An edition stays fixed. Refresh and edit the draft, then preview and publish a new edition when you want to share changed results.
Why can a reader not open an edition?
Check active membership, the edition’s named-reader access and whether the edition was withdrawn. Sending a link alone does not add that member to Readers.
What happens if two saves conflict?
Compare the latest draft before choosing Load latest draft or Keep my edits with latest version. These resolve the version conflict; they do not restore invalidated evidence or old generated text.
Help the next decision
A clear result. A useful conversation.
Share the checked outcome with the people who need it. Keep the next decision and unfinished work easy to find.
